SaaS is not automatically cheaper, and custom software is not automatically the better choice. The right decision depends on processes, data, number of users and the need for differentiation.
SaaS fits standardised workflows
If a company can adapt its processes to a proven standard product, SaaS solutions can often be introduced quickly. Operation, updates and baseline security are handled by the vendor.
Custom development for competitive processes
As soon as internal workflows, partner portals or integrations form the actual business advantage, workarounds and ongoing per-user licences become expensive. A custom solution maps the process directly.
Compare total costs over several years
For SaaS, a fair TCO comparison includes licences, integrations, data exports, customisations, training and dependencies. For custom development, maintenance, hosting, security, support and functional evolution also belong in the calculation.
Clarify responsibility on both sides
With SaaS, the customer remains jointly responsible for user management, configuration and privacy-compliant use, among other things. A combination often makes sense: standard services for general tasks and a custom integration or portal layer for differentiating processes.
