B2B & portals

Developing a B2B customer portal: connecting processes, roles and data properly

A B2B portal is more than a protected area with documents. It maps relationships, permissions and business processes. User roles, data sources and the concrete added value should therefore be clarified before the interface is designed.

Start with the most important transactions

Suitable starting points include order status, reorders, documents, service cases or approvals. The process should be considered in full, including the steps that still take place in the ERP or CRM.

A clearly scoped first workflow delivers feedback faster than a portal that tries to cover every conceivable function at once.

Model identity, tenants and roles cleanly

Depending on the environment, SSO with Entra ID or federated methods such as SAML or OIDC can be suitable for login. A tenant is the respective customer organisation with its users, locations, data and rules; roles describe the actions they are allowed to perform.

Permissions are not merely hidden in the interface. Every request and every change is checked on the server so that URLs, API calls or faulty filters do not expose other customers’ data.

Connect the leading data sources

Customer master data, orders, availability and documents should come from the responsible systems wherever possible. The portal must not become a competing shadow database when information changes regularly.

Caches and asynchronous processes can make sense but must make freshness and status visible. Users should be able to see whether an action is processed immediately or is still being transferred.

Think security and usability together

Multi-factor authentication, session management, logging and controlled invitations protect access. At the same time, error messages must be understandable and critical actions must receive a traceable confirmation.

Tests with real roles and typical business cases show whether the portal works in everyday use.
